Uploading Content & the Meeting Bot

Uploading existing videos and documents instead of recording live, and sending the Linc note-taker bot to a live Zoom, Meet, Teams, or Webex meeting.


If you already have a recording, training video, workshop recording, or written documentation of the workflow, upload it instead of recording live. You can upload both videos and documents together.

Uploading a video or documents

  1. In the New Session popup, select the Upload tab.
  2. Enter a workflow name, then choose your files — a video (MP4, WebM, or MOV, up to 2GB), supporting documents, or both together.
  3. If the video covers multiple workflows, toggle "This recording covers multiple processes" on — after analysis, Scout shows the processes it detected and you confirm the split (see Multi-process detection in the Scout Overview).
  4. Click Create Session and wait for processing. You'll receive an email when the AI interview is ready.

Tip: You can also upload a transcript of a call alongside the video for better accuracy.

Adding a meeting bot to a live call

For live calls where workflows are being discussed or demonstrated, send the Linc AI note-taker bot to the meeting instead:

  1. Select the Meeting tab in the New Session popup.
  2. Paste the meeting link — the video join link for a live meeting on Zoom, Google Meet, Teams, or Webex (not a dial-in number).
  3. Send the bot. It automatically joins, records, and transcribes the meeting.

The Meeting tab is for live meetings only — a meeting that's scheduled or in progress. If you already have a recording (a saved Teams/SharePoint/OneDrive video, a Zoom cloud recording, or a video file), the dialog will tell you it looks like a recording link — download that recording and add it on the Upload tab instead.

Screenshots from a meeting only show shared screens. The SOP takes screenshots only from moments when someone in the meeting was sharing their screen, so the people on the call never appear in it. If nobody shared a screen, the SOP has no screenshots — to illustrate the steps, share the screen while you walk through the process.

Tip: The meeting bot is useful for keeping documentation up to date as projects progress — add it to recurring status meetings to capture updates, new requirements, and changes to existing workflows. If a colleague who was in the meeting should answer the follow-up questions, you can share the session with them afterwards (see Working Together on an Interview).
