Working Together on an Interview

Sharing a session with a teammate, tagging a question for someone, forwarding questions to a process owner, asking the organizer mid-interview, and answering questions sent to you.


You don't have to document a workflow alone. There are several ways to bring other people into an interview, for different situations.

Share vs Forward — which do I use?

  • Share a workflow when a teammate should help run the whole interview — they get full access to the session (recording, transcript, live questions) and answer right there alongside you. Use it for co-owners or handing the interview to the real expert.
  • Forward specific questions when you're driving the interview and just need someone's input on a few things — they answer a short form, get no access to your session, and their answers fold back in for you.

Sharing a session

Useful when someone else knows the process best — for example, a meeting was recorded with the meeting bot and a colleague who was in that meeting should answer the follow-up questions.

  1. Open the workflow and click the "Share" button in the header.
  2. Pick a teammate from your organization (or type their email) and click "Share".
  3. They get an email link, and the workflow appears in a "Shared with You" group on their Scout list.
  4. They open the same session and answer questions directly — each answer is labeled with the name of the person who gave it.
  5. You can remove someone's access anytime from the same Share dialog.

Notes: both of you can answer in the same session (a banner asks you to refresh if a teammate answers while you have it open). People you share with can answer questions and generate documents, but can't delete the session, clear the conversation, move it to another department, or forward questions. Org admins can share a session on the owner's behalf. Sharing works within your organization only.

Tagging a question for a teammate

In a shared session you can hand a specific question to a teammate who's helping — "you take the finance ones, I'll take ops":

  1. On the current question, click "Help" (question-mark icon) and pick a teammate who's already sharing the session.
  2. The interview moves on instead of re-asking that question.
  3. The teammate is notified by email and sees it in their "Questions for you" card on Scout (and a "N for you" button inside the session). Their answer joins the interview, labeled with their name.
  4. Until they answer, the completion area shows "N questions awaiting {name}" — a reminder, not a blocker. You can still finish and generate; their answers fold in when they reply.
  5. If they answer after you've generated, the workflow is marked Needs update on Scout. The recording's own documents are not rewritten — open the process from the session's Deliverables tab and revise its latest version with what the answer changed.

If the person you want isn't in the session yet, the same "Help" menu lets you Share the session with them or Forward the question instead. Once tagged, the button reads "Tagged · {name}".

Forwarding questions to a process owner

Hand specific questions to someone else to answer on their own time, without giving them access to your session:

  1. In the interview, open the "Forwarded questions" panel and click "Add question" (or forward directly from a question — it comes pre-selected).
  2. Choose a recipient by email (they must belong to your organization), pick which questions to forward, and optionally add your own questions or a note.
  3. Leave "Include AI background" on to give them a short briefing, and "Require review" on if you want to approve their answers before they join your interview.
  4. Staged batches send automatically when you complete the interview, or click "Send all now".
  5. When answers come back, the batch shows "Answered — review"; click "Add to interview" to fold them in, attributed to that person.
  6. If answers arrive after you've generated, the workflow is marked Needs update and the interview reopens with the answers in it, so you can finish it again. What they change in the process is taken into its latest version from the process page.

Answering questions forwarded to you

If someone forwards you questions, you get an email link and — if you're a Linc member — a "Questions for you" card on your Scout page:

  1. Click "Answer" (or "Continue" if you already started).
  2. Read the question and any background, then type your answer.
  3. Click "Submit" — or "Decline" if you can't help (you can add a reason).

Your answers go back to the sender's interview. You don't get access to anything else in their workspace.

Asking the organizer a question mid-interview

If you were invited to record and hit something only the person who set up the interview can answer:

  1. On the current question, click "Help" and choose "Ask {name} a question…".
  2. Type your question and click "Send question".
  3. The interview carries on — that topic stays open until you get an answer, but the interviewer won't keep pressing it.
  4. The organizer is notified by email and answers from the "Needs your response" card on their Scout page; their reply lands in the "[N] for you" button next to the current question, and the interviewer picks it up as context.
  5. If you work it out yourself first, open the panel and click "Never mind, withdraw".

This option only appears when someone else set up your interview.

Answering questions raised for you as the organizer

If someone you invited raises a question for you, it shows in a "Needs your response" card at the top of your Scout list: each item shows who asked, which workflow, and which part of the process it's about. Type your answer and click "Send answer" — it goes back to them by email and into their session.
