Admin — Members & Access
Admin featureAdding members from the organization or by email invite, roles and To-Be access, organization administrators, and how pending and expired Initiative invites behave.
Settings → Members & Access manages who can get into an Initiative and what they can see. (Inviting someone to record a workflow is different — that lives in Discovery → Interviews; see the Discovery section.)
Adding members to an Initiative
- Select your Initiative, then go to Settings → Members & Access.
- Click "Add Members".
- Pick people who already have an account from Organization members. Search by name or email, and select more than one. A search that matches no one says so. People who are already members are left out. Someone who already has an account and still has a pending or expired invite stays in the list: adding them grants access and closes that invite. On the default Initiative, organization members who can already open it still appear, because adding them sets an explicit role.
- For someone who does not have an account yet, type their email under Invite someone new and click the + button. They get an email invite and join this Initiative when they create an account and sign in. If that address already belongs to an account, they are selected in the list above instead. An address with a pending or expired invite and no account is not invited again from here — resend it from their row in the members list.
- Pick a role — Initiative admin, Contributor, Viewer, or Guest (guests can only do their own interview and see nothing else). Optionally turn on To-Be access if they should see Opportunities, Roadmap, Designer, and Analysis chat without being an admin.
- People who already have an account are added immediately. Someone you invited is added when they create an account.
Roles, and who can change them
Anyone who can manage an Initiative — org admins and that Initiative's admins — can set any member's role from the dropdown on their row, Initiative admin included, and remove members. Two things are fixed: the Initiative owner can't be changed or removed here, and you can't remove or demote yourself as an Initiative admin (another admin, or an org admin, does that), so an Initiative is never left without someone who can manage it by accident. Making someone an Initiative admin gives them this tab for that Initiative only; it never makes them an organization admin.
The default Initiative
Everyone in your organization can open the default Initiative without being added. Its Members list shows them as via organization (or Org admin) so you can see who already has access and don't add anyone twice. Add a person there only to give them a specific role, or to bring in someone from outside your organization. Assigning a recording on the default Initiative lists those same people — you do not add them first. Making a different Initiative the default does not move any member rows; access follows whichever Initiative is the default.
To-Be access
With an Initiative selected, each member row has a To-Be access toggle. Turn it on so that person can see Architect's Opportunities and Roadmap tabs, the Designer, and the Analysis chat — including savings and headcount figures — without becoming an admin. Initiative admins always have To-Be access; guests never do.
Pending and expired invites
Anyone who hasn't accepted stays in the members list as a Pending row showing when their invite expires (30 days from sending, flagged in red in the final week). After that date the row turns Expired — it doesn't disappear, so you can see who never got in. The "⋮" menu offers:
- Resend invite — sends a fresh email with another 30 days (also how you revive an expired invite).
- Cancel invite — removes it, freeing the address to be invited again. Note: if you planned an interview for that person and it's waiting on their signup, cancelling means it will never be sent; re-inviting restarts it.
One case worth knowing: if someone creates their account after their Initiative invite expired, signing up does not add them to the Initiative — they appear as an Expired row. Resend the invite, and tell them to sign out and sign back in: Initiative access is granted at sign-in, so if they're already signed in, clicking the new link just returns them to their dashboard.
If you invited someone to an Initiative and planned an interview for them, the interview invitation waits until they accept the Initiative invite and create their account — resending a stalled Initiative invite is what unblocks their interview too.
Organization administrators
With no Initiative selected (the Organization scope), org admins see an Organization Administrators list at the top of Members & Access: everyone who has signed in, with a dropdown to switch each person between Administrator and Member. Changes apply on that person's next page load — no sign-out needed. Two guardrails: you can't remove your own Administrator role (ask another admin), and you can't remove the last remaining Administrator (grant it to someone else first). Every change is recorded in your organization's audit trail.
